The Office of the President Records are organized into seven series. Series I, Administrative Records, has been divided into two subseries: Committees, Councils, and Task Forces (1958-2005) and Operational Files (1959-2008). Committees, Councils, and Task Forces includes materials related to Advisory Boards, the Faculty Senate, Provosts' Council, and other campus committees and task forces. Operational Files consist of accreditation materials including re-accreditation, self-studies, and Western Association of Schools and Colleges (WASC), the campus constitution, by-laws, policy statements, as well as the Ventura Campus/CSU Channel Islands and the Master Plan. All materials are arranged alphabetically.
Series II, Financial Records, has been divided into four subseries; State Funding (1983-2001), The University Corporation (1958-2001), The Foundation (1974-2000), and the North Campus Development Corporation, Inc. (1963-2004). State Funding includes materials relating to budget planning from standard budget sources including lottery funds. The Foundation consists of materials relating funding administred by the Foundation, including grant and gifted funds. The University Corporation includes records related to campus stores, such as the Bookstore. North Campus Development, Inc. consists of all materials relating to the proposed development of North Campus including the MarketPlace and MiniMed. All materials are arranged alphabetically.
Series III, Campus Construction Records (1958-2005), consists of materials relating to facilities, facilities planning, and construction and have been arranged alphabetically.
Series IV, Correspondence, includes both Coded (1980-1998) and Uncoded (1955-2011) correspondence. Coded correspondence refers to memoranda issued by departments and units within the CSU Chancellor's Office to disseminate policy and procedure to all campuses. Offices generating coded correspondence include Academic Affairs, Budget Planning, Educational Programs and Resources, Faculty and Staff Relations, Public Affairs, and others. This coded structure was in use from as early as 1960 and remained until approximately 2000 when the CSU began its move to electronic distribution. This subseries is arranged alphabetically by office of origin. Uncoded correspondence consists of all other correspondence and is arranged alphabetically by sender or topic as filed by the President's office staff.
Series V, Academic Programs (1955-2001), consists of material related to academic colleges, departments, programs, and the University Library and are arranged alphabetically.
Series VI, Professional Associations and Organizations (1967-2002), includes material regarding various organizations in which the campus president participated. These include the Association of Retired Faculty, Alliance for Undergraduate Education, National Education Association, and the National Association of College and University Business Officers. Additionally, University Presidents served as a member of the Board for several organizations, these include entities such as the Bank of California, The J. Paul Getty Trust, and the Children's Television Network. These materials are arranged alphabetically by the name of the organization.
Series VII, Subject Files, has been divided into five subseries: Special Events and Programs (1955-2006), Faculty, Staff and Administrator Profiles (1958-2007), Legislative Files (1976-2005), Reference Files (1920-2010), and Newsletters and Publicity (1951-2001). Special Events and Programs includes speeches, conferences, dedication ceremonies, inaugurations, and distinguished visitors to the campus. Faculty, Staff, and Administrator Profiles consists of biographical and publicity files, including resumes, photographs, and newspaper clippings of campus employees. Legislative Files consists of materials relating to local, state, and other elections, including the "Legislative Update" produced by Government and Community Relations. Two surverys of the Update's readership were conducted in 1996 and 1998. A 50% random sample of completed responses has been retained in this subseries. Reference Files, consist of general working files and include material from Dr. James Cleary's co-editing of Robert's Rules of Order, Newly Revised (Scott, Foresman, 1970). Newsletters and Publicity consists of publications and reports that do not belong elsewhere in the collection. These include the College Information Bulletin (CIB), which changed its name to University Information Bulletin (UIB) in 1972 when California State Colleges became California State University. Also included are "From the President's Desk," press releases, and newspaper clippings prior to 1993 when the reporting line of the Office of Public Affairs was moved out of the President's Office. All materials in this series are arranged alphabetically.
