Subject files from the Office of the Chancellor, maintained by Policy and Records Administration Office, document all aspects of the administration of UC San Diego. The records also include a small selection of material from the Associate Vice-Chancellor for Business Affairs, the Vice Chancellor for Administration and the Vice Chancellor for Academic Affairs. Prominent subjects include the development of the campus, departments, and academic programs, the activities and affairs of departments, committees, faculty, and students, and current events concerning the campus and surrounding communities.
The Office of the Chancellor's Subject Files are an accumulation of records managed by the Office of Policy and Records Administration (formerly Administrative Records). Materials from different offices are interfiled into these subject files, generally in chronological order.
The Subject Files document the administrative decisions that have directed the development of UC San Diego and evidence the activities of individual departments and other units of campus operation. The files include correspondence, memos, notes, reports, and other materials pertaining to a given topic. Subjects include system-wide administration, building of the campus, development of academic programs, activities of individual departments and institutes, fund raising, campus-community relations, student affairs, current events concerning the campus, and committees at the campus and systemwide levels.
Materials are arranged following the numbered filing system established by Policy and Records Administration.

The Chancellor is UC San Diego's chief administrative officer and has general authority across the campus. They are responsible for establishing UC San Diego's administrative structure and ensuring that it functions responsibly and efficiently.
In 1972, the Office of the Chancellor created a central filing system that was to collect records from various administrative offices. This central filing system became what is now Policy and Records Administration (formerly called Administrative Records). This office was later transferred from the Chancellor's Office to the office of the Vice Chancellor for Operations Management and Capital Programs (formerly the Vice Chancellor for Resource Management and Planning or Vice Chancellor for Administration).
Originally, in addition to the Chancellor's records, the files of Policy and Records Administration (PRA) contained materials from various Vice Chancellors and Associate Vice Chancellors. Currently, the PRA focuses on maintaining the Chancellor's records, while providing information management and advisory services to the campus as a whole.
Chancellors to date have been: Herbert F. York (1960-1964), John S. Galbraith (1964-1968), William J. McGill (1968-1970), Herbert F. York (Acting, 1970-1972), William D. McElroy (1972-1980), Richard C. Atkinson (1980-1995), Marjorie C. Caserio (Interim, 1995-1996), Robert C. Dynes (1996-2003), Marsha Chandler (Acting, 2003-2004), Marye Anne Fox (2004-2012), and Pradeep Khosla (2012-present).
