Series II. Education and outreach, 1980-2003 and undated (bulk 1984-2001)

Physical Description: 18.65 linear feet (20 boxes, 3 flatfiles)

Scope and Content Note

Records consist of handouts, course materials, memoranda, correspondence, exhibit designs and related materials, visitor responses, educational game sets, photographic materials, reports, contracts, and forms relating to educational programs developed by the J. Paul Getty Museum Department of Education and Academic Affairs, dating 1980-2002 and undated (bulk 1984-1997).
The records are centered around five types of activities: adult courses, staff education and training, exhibitions and informative displays, school and youth programs, and scholarly programs. Both adult courses and staff education programs covered topics such as art techniques, stylistic periods, specific works and artists, and the history of the Museum itself. Exhibitions and displays offered Museum visitors insight into its art collection; materials relating to this topic include exhibit designs, background information about exhibitions, and compilations of visitor responses. School and youth programs were designed to help younger visitors engage with and understand art. Student tours and game sets both focused on the artwork in the Getty's collection, while the Multicultural Art Print Series (MAPS) was used to reach students in the classroom. Scholarly programs refers to both interns and visiting guest scholars; materials include orientation guides to introduce them to Los Angeles and the Museum, comparisons with other institutions' guest scholar programs, and records regarding the housing for the guest scholar program. Community outreach primarily concerns programs whose intent was to introduce various groups, such as teachers, students, families, and librarians, to the Getty Center and familiarize them with its offerings.

Arrangement note

The records are organized into six subseries:

Getty Center materials are further divided into exhibition records dating to the early years of the Center, and records regarding the Art Information Rooms.
The records are organized into three subseries:

Series II.C.1. Getty Villa exhibitions, 1987-2002 (bulk 1995-2001)

Physical Description: 4.2 linear feet (6 boxes, 3 flatfiles)

Scope and Content Note

Records consist of exhibit scripts, memoranda, correspondence, informational notebooks, visitor comment notebooks, reports, and architectural drawings relating to exhibitions at the Getty Villa, dating 1987-2002 (bulk 1995-2001).
The Orientation Theater, built in 1988, featured a slide show with accompanying audio to introduce visitors to the Museum and its collections. Materials relating to the Theater include copies of the script, contracts regarding its construction and maintenance, and architectural plans for the space.
The Art of Collecting: The Earl and Countess of Arundel, Carrie M. Weems Reacts to Hidden Witness, and Butterflies of the World were 1995 Museum exhibitions. Materials about the Arundel exhibition include the Facilitator Notebook, a publication and notebooks about the collection, and an assemblage of visitors' comments. Visitor responses were also collected for the Carrie M. Weems exhibition, and for Butterflies of the World there is a set of visitor sketchbooks in which visitors were invited to comment and/or draw.
A number of materials exist regarding the planning of a simulated archaeological dig at the Villa, a project that never came to fruition. Included are 20 architectural drawings ranging in size from 11" x 15" to 30" x 42," drawn up by Machado and Silvetti Associates, Inc., architect, and Langdon Wilson Architecture Planning, associate architect.

Arrangement note

The records are kept in the order in which they were received.

Series II.C.2. Getty Center exhibitions, 1996-2003

Physical Description: 5.35 linear feet (7 boxes)

Scope and Content Note

The records consist mainly of memoranda, correspondence, reports, notes, scripts, planning materials, and corresponding handouts relating to some of the exhibitions displayed at the Getty Center, dating 1996-2003. Many of the exhibition records come from Education Department liaisons for various exhibitions, with suggestions for ways to bring them to the awareness of broader audiences, including teachers and students. In the Art Information Rooms (AIRs) the visitor could receive additional information about the collections in the galleries and access the Getty's online art database. The Family Room was created as a space to provide interactive learning experiences to families with children ages 4-11. Records covering these exhibits feature display drawings, mockups, drafts of the scripts for VIEW (Visitor Interactive Educational Workstation), and various planning materials, including a 17" x 11" spiral-bound set of architectural and design plans. Additional plans, reports, and analyses follow the progress of the AIRs until their dissolution in 2003. Exhibition press kits consist of pamphlets, handouts, and other materials distributed to the media to introduce exhibitions.

Arrangement note

The records are organized into three sections: Exhibition records, Art Information Rooms (AIRs), and Exhibition press kits.

Series II.D.2. Game sets, undated,

Physical Description: 2.6 linear feet (3 boxes)

Scope and Content Note

Sets consist of plastic cases containing games created by the J. Paul Getty Museum to teach students and children about various elements of art production and interpretation; dates are unknown.
"Perplexing Paintings" consists of a plastic case containing three games designed to help the visitor understand different ways painters communicate through their pictures. Game 1, Catherine's Story, uses the painting St. Catherine of Alexandria: Scenes from Her Life by Donato and Gregorio d'Arezzo to teach "how some painters use a series of scenes ... to tell stories." Game 2, John's World, uses the painting Portrait of John Talbot, later 1st Earl Talbot by Pompeo Batoni to teach "how to discover and decipher the clues hidden in portraits" to learn about the subjects. Game 3, What's My Style?, has the visitor compare small postcards of paintings to Van Gogh's Irises and Rembrandt's An Old Man in Military Costume, to "practice recognizing different painters' styles and learn how artists use style to communicate feelings and ideas."
"Fascinating Furniture" consists of a plastic case containing three games designed to show the visitor ways that French furniture was made, decorated, and used. Game 1, Build a Chest of Drawers!, illustrates the steps involved in producing elaborate French furniture. Game 2, Beauty is Only Skin Deep, teaches about "some of the exotic materials that French craftsmen used to decorate elegant furniture" and the ways they "combined these exotic materials in order to give the same design a new look on different pieces of furniture." Game 3, The Hidden Drawer Mysteries, has the visitor search for hidden drawers and doors on certain pieces of furniture.
"Puzzling Pots" consists of a plastic case containing three games. Game 1, Who's Who on Greek Vases, uses game cards to teach clues for identifying some of the images found on Greek vases. Game 2, Mixing, Pouring, Storing, uses game cards and a decoder to help the visitor identify the uses of certain styles of vases and pots in Greek life. Game 3, Mending and Fixing, demonstrates ways the Greeks repaired damaged pottery. It includes game cards and copies of pottery fragments that the visitor uses to locate the matching artifact.

The files cover a variety of topics including public relations strategies, visitor surveys and profiles, community outreach, the USC Neighborhood Academic Initiative, materials regarding collaborative projects between the Getty and the California Science Center, Getty Center transition planning, Museum and exhibit accessibility, and event planning. The Family Audience Development Initiative (FADI) was a project whose main goals were increased attendance by families in targeted local communities to the Museum, and developing relationships with community-based organizations in those communities.
The main contributors to the records are Diane Brigham, Head of the Department of Education and Academic Affairs; Diane Manuel, Program Evaluator for the Department of Education and Academic Affairs; Elizabeth Escamilla, Education Specialist, Community Audiences; Jennifer Pascaran Beard, Project Coordinator for the Education Department; and Viviane Meerbergen.

Series III. Public events and performances, 1973-1998 (bulk 1987-1998)

Physical Description: 6.7 linear feet (11 boxes)

Scope and Content Note

Records are comprised primarily of memoranda, correspondence, policy guidelines, public announcements, contracts, press clippings, proposals, forms, and publicity, created and maintained by the J. Paul Getty Museum Department of Education and Academic Affairs, relating to public events and performances presented by the Museum, dating 1973-1997 (bulk 1987-1997).
The records are grouped around four types of activities: lectures and seminars, concert series, film series, and theatrical performances. The majority of the materials relate to lectures and concert series, and concern individual speakers or performers. Lecture topics relate to art and art history, and often highlight works in the Getty's collection or an exhibition.

Arrangement note

The records are organized into four subseries:

Series III.A. Lectures and seminars, 1973-1998 (bulk 1990-1998)

Physical Description: 4.9 linear feet (9 boxes)

Scope and Content Note

Records consist of files regarding the lecture and seminar series presented by the J. Paul Getty Museum. Materials relate to speakers as well as some more general program administrative and policy files, dating 1973-1998 (bulk 1990-1998). During the 1970s and early 1980s only general materials were kept, such as lecture policies and procedures, forms, schedules, and announcements; much of the early 1970s material concerns the development of the lecture policies, as there were not yet official guidelines in place. Around 1983 a history of Lectures, Seminars and Colloquia was compiled, which includes a listing of the speakers and their topics beginning with the program's inception. Lecture and seminar announcements were collected from 1986 through 1997. Beginning in 1990, individual files exist for lecturers. The materials in these files vary, but may include the lecturer's contract, curriculum vitae, correspondence between the individual and the Getty, lecture/seminar announcements, and recommendation forms.
Lectures were given for the general public, scholars, and students. Lectures were either on individual topics, or were part of a thematic lecture series. Seminars were smaller and invitation-only, with an audience of museum and university professionals in art history or conservation, graduate students in art history, and Getty staff members.
Note that there is a gap in the records; most of 1991 is not present.

Arrangement note

Files are generally organized chronologically. Policy files from the 1970s and 1980s are followed by lecture announcements from 1986-1997. Beginning with 1990, files are grouped by year, then alphabetically by lecturer within each year. Records for thematic lecture series are found at the front of that year's grouping, beginning with a general file for the series, then those for the individual lecturers. In a few cases, co-lecturers are filed consecutively, putting one out of alphabetical order. There are also a few instances in which a lecturer's file from a previous year is kept with their newer file.

Access Information

Records need to be reviewed for the possible presence of personal and financial information.

Series III.B. Concert series, 1980-1990, 1992-1994

Physical Description: 1.6 linear feet (3 boxes)

Scope and Content Note

Records are comprised of files for concert performers and others who were involved with the J. Paul Getty Museum's concert series, as well as some more general program administrative files, dating 1980-1990 and 1992-1994; files from 1991 are absent. Each individual performer or group has a file pertaining to their collaboration with the Getty. Although the amount of information in the file varies according to the individual, documents may include their contract (some signed, some blank copies), correspondence offering and accepting the performance, a copy of the program, logistical requirements, and background materials on the performer. Documents in this series also include contracts and correspondence with ASCAP (the American Society of Composers, Authors and Publishers), blank form contracts and letters, evaluations, and general policy guidelines, although none of these are found consistently from year to year.
The 1989 file "French Revolution bicentennial" comprises documents relating to the summer concert and lecture series that coincided with UCLA's celebration of the bicentennial of the French Revolution. Many of these documents consist of correspondence, with both lecturers and performers, and internal memoranda. Some materials cover UCLA's programming.
Most materials seem to originate in the office of Ann Friedman, but there is one set of files from the office of David Ebitz.

Organization

Files are arranged into sets by year. Within each year, general records are located at the front, followed by individual files for performers and others involved in the production of the concerts.

Access Information

Records need to be reviewed for the possible presence of personal and financial information.

Series IV. Photographic materials, 1994-1999, undated

Physical Description: 4.8 linear feet (6 boxes)

Scope and Content Note

Consists of proof sheets, prints, slides, negatives, and transparencies relating to activities of the J. Paul Getty Museum Department of Education and Academic Affairs, from 1994-1999 and undated.
There are two primary types of images in the series: artwork and activities. The Slide Library was available to staff for reference and research and was maintained by Peggy Fogelman; it consists of 896 slides depicting works of art (with the exception of a few slides which were never returned after use). Education Photos depict activities at the Getty Villa and Getty Center, and a large number of promotional images of the Getty Center around the time of its opening and the following years. There does not seem to be a definable order within Education Photos; although there are dividers for Gary Moss Photos and Other Photos, photographs taken by Moss are found throughout the collection. Moss's photographs are promotional images of the Getty Center, while the other featured photographer, Robert Pacheco, captured more of the daily activities (for correspondence and contracts with Moss and Pacheco see Series I.A.2. Getty Center opening).

Arrangement note

Materials have been kept in the order in which they were received.
